About the Opportunity

Pathfinder International is seeking a highly organized and proactive Procurement Intern to support daily procurement operations at the country office in Dar es Salaam.

The successful candidate will work under the supervision of the Procurement Officer to support procurement activities, maintain procurement records, process invoices, generate purchase orders, and ensure timely delivery of goods and services while promoting cost effectiveness and compliance.


Job Purpose

The Procurement Intern will provide operational procurement support to ensure smooth and efficient procurement processes within the organization.


Key Responsibilities

1. Procurement Process (70%)

  • Track procurement requests from the procurement plan and remind users to submit requests on time.
  • Generate purchase orders.
  • Track purchases and ensure timely deliveries.
  • Submit invoices to finance on time.
  • Resolve invoice-related issues promptly to facilitate supplier payments.
  • Provide timely feedback to internal stakeholders and suppliers.
  • Communicate tender awards and rejection notifications to suppliers.
  • Negotiate purchases to ensure value for money and cost savings.

2. Documents Maintenance (20%)

  • File procurement physical documents properly.
  • Receive and archive vendor-submitted samples.

3. Internal Relationship Building & Procurement Compliance (10%)

  • Support awareness and understanding of procurement policies.
  • Train and guide stakeholders on proper purchasing requisition procedures.
  • Encourage timely approvals before procurement inquiries are initiated.

Minimum Qualifications

  • Bachelor’s Degree in Procurement and Supply Chain Management or a related field.

Required Competencies

Technical Competencies

  • Basic knowledge of commodity purchasing and procurement systems.
  • Good understanding of procurement processes.
  • Familiarity with purchasing applications and procurement tools.
  • Vendor relationship management skills.

Organizational Competencies

  • Strong communication skills in English and local language.
  • Proficiency in Microsoft Office applications:
    • MS Word
    • MS Outlook
  • Good customer service skills.
  • Ability to prioritize tasks and meet deadlines.
  • Ability to multitask with minimal supervision.
  • Strong teamwork and self-management skills.
  • Detail-oriented with ability to work in fast-paced environments.
