Job Summary
The Receptionist serves as the first point of contact for visitors, clients, employees, and stakeholders. The role is responsible for delivering professional front-office services, ensuring smooth daily reception operations, handling administrative duties, and maintaining a welcoming and efficient business environment.
Key Responsibilities
1. Front Desk & Customer Service (30%)
- Greet and welcome visitors in a professional and friendly manner.
- Ensure visitor management procedures are followed, including:
- Visitor registration
- Issuing access badges
- Notifying hosts of visitor arrivals
- Maintain a clean, organized, and professional reception area.
- Manage incoming calls and enquiries and direct them appropriately.
2. Administration & Office Support (20%)
- Receive and register supplier invoices.
- Dispatch invoices to relevant business units for processing.
- Handle documents, correspondence, and filing activities.
- Provide administrative support to departments dealing with clients and visitors.
3. Customer Experience & Brand Representation (30%)
- Maintain a high standard of personal presentation and professionalism.
- Act as an ambassador of the bank’s values and culture.
- Foster a welcoming and respectful environment for customers, staff, and visitors.
- Support initiatives that enhance customer experience and satisfaction.
4. Risk, Governance & Control (20%)
- Manage First Aid responsibilities at the reception area.
- Ensure the First Aid Kit is adequately stocked and maintained.
- Provide first aid assistance to injured customers, visitors, or employees when required.
- Conduct regular inspections of the reception area to identify potential safety hazards.
- Ensure front office doors, back doors, and turnstile systems are functioning properly.
- Report any security or operational malfunctions immediately to the Security Manager.
- Coordinate with Security Guards and the Security Supervisor to resolve security-related issues at reception.
Required Qualifications
Education
- Bachelor’s Degree or Advanced Diploma in any discipline.
Experience
- At least two (2) years’ experience in:
- Front Office Operations
- Customer Service
- Reception Services
- Administrative Support
Professional Skills
- Excellent communication skills in both English and Kiswahili (written and spoken).
- Strong customer service orientation.
- Proficiency in:
- Microsoft Outlook
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Knowledge of office management systems and procedures.
- Ability to multitask and prioritize work effectively under pressure.
- Strong interpersonal and relationship management skills.
