Job Purpose
To perform a variety of routine Management Services and administrative support tasks to ensure staff receive efficient and effective operational support.
Key Responsibilities
Front Office & Administrative Support
- Serve as the first point of contact for internal inquiries.
- Assist in resolving routine administrative issues and escalate complex matters when necessary.
- Provide timely and accurate responses to staff inquiries.
Courier & Shipment Coordination
- Act as the focal point for all courier and shipment services.
- Receive, document, and dispatch official mail and packages.
- Coordinate with courier companies and internal departments.
- Track incoming and outgoing consignments.
- Maintain accurate shipment records and logs.
- Communicate delivery delays or issues to relevant stakeholders.
Documentation & Records Management
- Draft, format, and proofread documents.
- Prepare and send routine correspondence.
- Maintain records, files, and archives for easy retrieval and accessibility.
- Ensure proper documentation and record-keeping procedures.
Meeting & Event Coordination
- Schedule meetings and appointments.
- Prepare meeting rooms and required materials.
- Take meeting minutes and distribute them to participants.
- Coordinate refreshments (tea/coffee) for conference room meetings.
- Support office events and internal meetings.
Team Support
- Work collaboratively with Management Services team members.
- Provide backup support within the unit when needed.
- Contribute to a positive and professional work environment.
Qualifications
Education
Applicants should possess a:
- Bachelor’s Degree in:
- Business Administration
- Office Management
- Office Administration
- Public Administration
- Or a related field
Final-year university students and recent graduates are also encouraged to apply.
Experience
- Previous work experience is not mandatory.
- Any internship, volunteer work, or administrative experience will be an added advantage.
