Job Purpose

To perform a variety of routine Management Services and administrative support tasks to ensure staff receive efficient and effective operational support.


Key Responsibilities

Front Office & Administrative Support

  • Serve as the first point of contact for internal inquiries.
  • Assist in resolving routine administrative issues and escalate complex matters when necessary.
  • Provide timely and accurate responses to staff inquiries.

Courier & Shipment Coordination

  • Act as the focal point for all courier and shipment services.
  • Receive, document, and dispatch official mail and packages.
  • Coordinate with courier companies and internal departments.
  • Track incoming and outgoing consignments.
  • Maintain accurate shipment records and logs.
  • Communicate delivery delays or issues to relevant stakeholders.

Documentation & Records Management

  • Draft, format, and proofread documents.
  • Prepare and send routine correspondence.
  • Maintain records, files, and archives for easy retrieval and accessibility.
  • Ensure proper documentation and record-keeping procedures.

Meeting & Event Coordination

  • Schedule meetings and appointments.
  • Prepare meeting rooms and required materials.
  • Take meeting minutes and distribute them to participants.
  • Coordinate refreshments (tea/coffee) for conference room meetings.
  • Support office events and internal meetings.

Team Support

  • Work collaboratively with Management Services team members.
  • Provide backup support within the unit when needed.
  • Contribute to a positive and professional work environment.

Qualifications

Education

Applicants should possess a:

  • Bachelor’s Degree in:
    • Business Administration
    • Office Management
    • Office Administration
    • Public Administration
    • Or a related field

Final-year university students and recent graduates are also encouraged to apply.


Experience

  • Previous work experience is not mandatory.
  • Any internship, volunteer work, or administrative experience will be an added advantage.
