Branch & Head Office Operations Control Officer

Job Purpose
This role supports Mwanga Hakika Bank’s internal control framework by executing branch and head office operational controls, ensuring compliance with internal policies, regulatory requirements, and operational procedures.
It focuses on strengthening control effectiveness by identifying weaknesses, recommending corrective actions, and promoting a strong risk and compliance culture across branches and central operations.
Key Duties and Responsibilities
1. Branch & Head Office Control Monitoring
- Review Branch & Head Office Control Checklists and report findings to the Head of Operations & Service Excellence
- Conduct daily operational control reviews across branches
- Identify control gaps and ensure corrective actions are implemented
2. General Ledger & Financial Controls
- Review branch general ledger (G/L) accounts daily
- Identify and report exceptions in financial postings
- Support branches in correcting G/L discrepancies
- Monitor accuracy of financial records and reporting
3. Regulatory Reporting & Compliance
- Ensure timely submission of regulatory and statutory returns from operations
- Monitor compliance with regulatory reporting requirements
- Coordinate with relevant units to ensure deadlines are met
4. Vault, Cash & ATM Monitoring
- Monitor daily vault positions and ATM cash limits
- Ensure adherence to cash handling policies and operational limits
- Support risk reduction in cash management processes
5. Branch Visits & On-Site Controls
- Conduct branch visits where necessary
- Perform physical reviews of branch compliance with internal controls
- Identify operational gaps and recommend corrective actions
6. Reconciliations & Operational Accuracy
- Monitor all reconciliations within the Operations Department
- Follow up on unresolved reconciliation items
- Ensure accuracy and completeness of operational records
7. Risk, Compliance & Audit Follow-Up
- Liaise with Risk and Compliance departments on regulatory matters
- Follow up closure of audit and risk issues across branches and head office
- Ensure timely implementation of corrective action plans
8. Customer Onboarding Controls
- Review onboarding processes at branch level for accuracy and compliance
- Report onboarding exceptions and ensure resolution
- Ensure adherence to internal onboarding procedures
9. Reporting & Other Duties
- Prepare and submit control and compliance reports
- Perform any additional duties assigned by management
Qualifications and Experience
A. Education
- Bachelor’s degree in business-related field
B. Experience
- 5–10 years of banking experience in:
- Branch operations
- Head office operations
- Banking control or compliance functions
Key Knowledge and Skills
- Strong understanding of banking operations (branch and centralized systems)
- Good knowledge of banking industry standards
- Strong risk and compliance awareness
- High attention to detail
- Strong report writing and documentation skills
- Ability to analyze operational data and identify control weaknesses
