Job Summary

ExpAgro is seeking a qualified, organized, and detail-oriented Documentation Officer – Clearing & Forwarding to support the company’s clearing, forwarding, logistics, and export operations.

The successful candidate will ensure that customs, shipping, commercial, regulatory, and export documentation is accurately prepared, processed, submitted, and properly maintained to facilitate the timely movement and export of agricultural commodities.

Key Responsibilities

  • Prepare, review, and process export, customs, shipping, commercial, and regulatory documents for agricultural commodity shipments.
  • Prepare and coordinate invoices, packing lists, certificates of origin, Bills of Lading, delivery orders, export declarations, permits, phytosanitary and fumigation certificates, inspection documents, and quality certificates.
  • Coordinate with customs agents, shipping lines, freight forwarders, transporters, ports, terminals, inspection companies, and government authorities to ensure timely clearance and shipment.
  • Ensure all shipment documents are accurate, complete, consistent, properly authorized, and submitted within required deadlines.
  • Coordinate with Warehouse and Logistics teams to confirm cargo readiness, weighing, packaging, labelling, loading, container details, seal numbers, and dispatch schedules.
  • Monitor customs declarations, inspections, assessments, cargo releases, vessel loading, vessel departures, and other shipment milestones, and promptly report delays or issues.
  • Prepare shipping instructions and verify draft Bills of Lading and other transport documents.
  • Ensure shipping documents correspond with the correct shipment, container, batch, and customer order.
  • Maintain accurate shipment trackers and complete physical and electronic files for all export and clearing transactions.
  • Coordinate with Finance on letters of credit, banking documentation, freight and port charges, demurrage, detention, and other shipment-related costs.
  • Identify and resolve documentation discrepancies, customs queries, missing permits, incorrect information, and other issues that may delay clearance or shipment.
  • Ensure compliance with applicable customs, export, agricultural, quality, food-safety, and international trade requirements.
  • Provide timely shipment updates and approved documents to management, customers, suppliers, and other authorized stakeholders.
  • Support internal and external audits as required.

Qualifications and Experience

  • Bachelor’s degree in Clearing and Forwarding, Logistics, Supply Chain Management, International Trade, or a related field.
  • At least 2 years of relevant experience in clearing and forwarding, export documentation, customs, logistics, or shipping.
  • Experience in agricultural commodities or export operations will be an added advantage.
  • Good knowledge of customs clearance, export documentation, and shipping procedures.
  • Good computer, communication, organizational, and documentation skills.
  • High level of accuracy, integrity, and attention to detail.
