Overall Purpose

The Logistics Officer is responsible for ensuring efficient logistics support services including:

  • Procurement and supply chain management
  • Fleet and transport management
  • Asset and inventory control
  • Warehouse operations
  • Office and facility support
  • Compliance with organizational and donor regulations

Key Responsibilities

Procurement & Supply Chain

  • Process procurement requests according to organizational and donor procedures
  • Ensure transparent and competitive purchasing of goods and services
  • Maintain supplier databases and price lists
  • Support framework agreements with suppliers

Fleet & Transport Management

  • Coordinate vehicle movement planning and scheduling
  • Maintain vehicle logbooks
  • Monitor fuel usage and maintenance schedules
  • Ensure timely servicing and repairs

Asset & Inventory Management

  • Maintain updated asset registers
  • Tag and track organizational assets
  • Conduct periodic physical verification of assets
  • Report damaged or obsolete assets

Warehouse Management

  • Supervise receipt, storage, and dispatch of goods
  • Maintain accurate stock records
  • Ensure warehouse safety, cleanliness, and security

Office & Facility Support

  • Manage office maintenance, utilities, and repairs
  • Ensure availability of office supplies and consumables
  • Liaise with service providers such as cleaners and security

Reporting & Documentation

  • Maintain logistics records (procurement, fleet, stock, assets)
  • Prepare monthly logistics reports
  • Support audits and ensure proper filing of contracts
  • Maintain vendor contract documentation

Access, Safety & Security

  • Support implementation of security policies and procedures
  • Assist in field safety planning and emergency response
  • Conduct security briefings for staff and visitors
  • Monitor security risks and operational access

Humanitarian Access & Analysis

  • Analyze security context and access challenges
  • Support movement strategies for field operations
  • Conduct periodic access and security reviews

Training & Capacity Building

  • Deliver security briefings for staff and visitors
  • Support onboarding of new employees
  • Provide safety and security documentation

Coordination & Representation

  • Liaise with local authorities and stakeholders
  • Share security and logistics information with partners
  • Support coordination with field and country teams

Supervisory Responsibilities

May supervise:

  • Drivers
  • Interns
  • Casual workers

Qualifications

  • Bachelor’s degree in Logistics, Supply Chain Management, Procurement, Business Administration, or related field
  • Minimum 4 years’ experience in logistics, preferably in an NGO or international organization
  • Knowledge of procurement, inventory, and fleet systems
  • Experience with ERP or logistics software is an advantage
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Skills and Competencies

  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to work under pressure and with minimal supervision
  • High integrity and professionalism
  • Fluency in English and Swahili

Working Conditions

  • Full-time role with minimum five working days per week
  • May require weekend or after-hours work
  • Office-based with occasional field coordination
  • High workload periods and tight deadlines
