Position Overview

The International School of Tanganyika (IST) is seeking a Procurement and Stores Assistant to provide administrative and operational support to the procurement function. The role involves assisting with purchasing activities, maintaining procurement records, coordinating deliveries, supporting inventory management, and ensuring compliance with procurement procedures.

Key Responsibilities

Procurement Support

  • Process approved purchase requisitions.
  • Obtain supplier quotations.
  • Prepare purchase orders.
  • Follow up on deliveries to ensure timely procurement.
  • Support efficient acquisition of goods and services.

Supplier & Internal Coordination

  • Communicate with suppliers and internal departments.
  • Monitor order status.
  • Provide delivery updates.
  • Resolve routine procurement issues.
  • Escalate complex matters when necessary.

Inventory & Stores Management

  • Receive and inspect delivered goods.
  • Verify deliveries against purchase documents.
  • Maintain inventory records.
  • Assist with stock counting.
  • Report damaged items or discrepancies.

Documentation & Compliance

  • Maintain accurate:
    • Procurement records
    • Supplier information
    • Purchase documentation
    • Filing systems
  • Ensure compliance with:
    • IST procurement policies
    • Audit requirements
    • Record retention standards

Administrative Support

  • Assist in preparing procurement reports.
  • Maintain confidentiality of procurement information.
  • Support improvements in procurement processes.
  • Perform other duties assigned by the Accounts Manager.

Minimum Qualifications

  • Diploma in:
    • Procurement and Supply Chain Management
    • Business Administration
    • Logistics
    • Related field
  • Bachelor’s degree is an added advantage.

Experience Requirements

  • 2–3 years’ experience in:
    • Procurement
    • Purchasing
    • Stores management
    • Logistics
    • Administrative support

Required Skills & Competencies

  • Knowledge of:
    • Procurement procedures
    • Purchasing processes
    • Inventory management
    • Procurement documentation
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities.
  • High attention to detail and accuracy.
  • Good written and verbal communication skills.
  • Customer service mindset.
  • Proficiency in Microsoft Office, especially:
    • Excel
  • Experience with ERP or inventory management systems is desirable.
